How it works

One text in. One card back.

Between the two: the seven states a job moves through, the time on it, the ladder it climbs, the gates an answer passes, when it texts you and when it stays quiet, and when a person steps in.

The seven states

Only two of them need you.

Every job is in one state at a time, on its card and on your desk. The page’s pose tells you which, at a glance. Pick one.

Captured

Something arrived: a text, a photo of a letter, a school screenshot, a forward. Proxling reads it and decides what it is.

Who acts
Proxling
Leaves when
Within 15 minutes, as a job, a thing to know, or merged with a job already on the desk.
Texts you
No. The desk shows it.
On a card
“Two pages, sent 17:58. On the desk by 18:13.”

Working

A rung of the ladder is running: reading, checking the web, ringing in office hours.

Who acts
Proxling, and a person if it’s needed
Leaves when
The step comes back with an answer, or with a reason to wait.
Texts you
No.
On a card
“Ringing 14 practices from 09:00. Back by 17:00 Thu 1 Oct.”

Waiting

Proxling is waiting on a place or a date. On hold, it waits. Nobody on your side has to do anything.

Who acts
Nobody on your side
Leaves when
They answer, the date comes, or the next check is due. Never more than five working days without one.
Texts you
No.
On a card
“The office says the trip letter goes home Monday. Back by 12:00 Tue 29 Sep.”

Needs you

A decision, an approval, a fact only you have, or a job only you can do, like paying or signing. The bell.

Who acts
You, the job’s owner
Leaves when
You reply, or tick it on the desk. Your backup is told if it passes the date you set.
Texts you
Yes, at once, outside quiet hours, with the words to reply.
On a card
“Council tax: £187.20 by Mon 5 Oct. Reply PAID, RING or LATER.”

Watching

A standing job. Keep asking until someone says yes, or keep an eye on something slow.

Who acts
Proxling
Leaves when
A yes, a change, you stop it, or eight weeks pass. Then it asks before going on.
Texts you
Within the hour of a yes. And one line every 14 days, so quiet is never mistaken for nothing.
On a card
“Still asking. 12 practices re-checked on Monday, no yes yet.”

Done

The done gate passed and the proof is on the card. On the tray.

Who acts
Nobody
Leaves when
It doesn’t. The card stays, with its trail.
Texts you
If you asked for the job yourself.
On a card
“Boiler service confirmed: Tue 6 Oct, 8am to 1pm.”

Could not

The ladder finished without an answer. It says so plainly, with everything it tried.

Who acts
You choose what’s next
Leaves when
You pick: a person keeps trying, a reminder, or leave it.
Texts you
Yes.
On a card
“We knocked. No one could say. Here’s what we tried.”

A time on every job

It works office hours. So every job has a time.

A day and an hour, never “soon”. If a job is going to miss it, you hear before the time passes, with the new time and why.

The school office didn’t answer this morning. Trying again at 14:00. Back by 16:00, not 12:00.

It belongs to the world, so the card shows it, and when the reminder goes.

The ladder

It climbs until a rung gives a real answer.

Each place is worked up the same five rungs. The question decides which rung counts, because for some questions the web is months out of date.

  1. A rule check

Is it in scope, and open today?

For NHS dentists: on the NHS list, within the distance, open now.

  2. The web

The place’s own page and public listings, with their dates.

For NHS dentists: builds the list, the numbers and the hours. Not final: the NHS flag is often months late.

  3. A second source

    Another independent page or listing.

For NHS dentists: a change on a practice’s own site moves its call earlier. Still not final.

  4. A call

In office hours. It says it is an automated caller from Proxling, first. One question. The answer noted in a few words.

For NHS dentists: final, for yes and for no. Three tries at different times across two days before “no answer”.

  5. A person

A person at Proxling reviews or rings, and signs the card.

For NHS dentists: for an answer the call couldn’t place, like “ring back Monday”.

The gates

Nothing reaches you until it passes.

The card doesn’t say how sure it feels. It says what passed.

When it texts

The desk first. A text only when it counts.

It texts you when

  • A job of yours needs you, with the real deadline.
  • A reminder you set is due.
  • A job you asked for is done, or could not be done.
  • An ask-around gets a yes. Within the hour, in office hours.
  • A time is about to slip. Before it slips.
  • You text it. It always replies.

It stays quiet when

  • A job moves between Working and Waiting.
  • It adds a date, or a thing to know.
  • A photo made no job that needs you. The desk shows it.
  • It’s someone else’s job. Each of you hears only about your own.
  • It’s the evening. There is no round-up.

Boiler service confirmed: Tue 6 Oct, 8am to 1pm

The booking line’s menu hung up on Proxling twice, so a person finished the job. Included: it was Proxling’s job to finish.

Dan at Proxling made the call that worked, Wed 23 Sep, 14:10.

When it matters

At worst, a person steps in.

Proxling checks, reads and rings on its own. These four things bring in a person, who signs the card with their first name. A person rings as a person working for Proxling, and sees only what the job needs.

  1. An answer that doesn’t fit what was asked.A person checks it before you see it.Included
  2. Proxling’s own tools failed.A person makes the call that works.Included
  3. It couldn’t be done. You can ask a person to keep trying. It asks first.
  4. Money or a legal deadline.A person’s check is offered before it’s marked done.Offered

A person can’t promise a yes, either. Placeholder price.

Needs you: the bell

It asks. You decide.

A pink desk bell beside a round tray with one folded card standing on it.
  • It says who it is.The first thing Proxling says on every call is that it is an automated caller from Proxling.
  • It books only on your reply.A yes is not a booking. HOLD 1 asks a place to hold one; nothing happens until you send it.
  • It never pays. It never signs.Paying and signing stay with you. The card says when they’re due.
  • It gives nothing away.Your name goes to a place only when your reply asks for it, and then only your name and number.
  • Nothing it reads can make it act.A letter or an email that says “reply with your details” is read, not obeyed.
